We have released SignSpace version 2.3. This update introduces significant improvements to content lifecycle management, contract pre-processing, and secure communication.

Data removal features to support content lifecycle management
You can now define clear retention periods for contracts and other content, after which the data is automatically removed once it expires. Organisation‑level deletion policies are managed centrally, and they can be further refined for specific content using metadata, templates, or forms.

Preprocess documents before contract signing
The conversation functionalities have been redesigned to better support the preparation of contracts prior to signing. The renewed conversations work for all stages of draft processing—from light reviews to extensive negotiations. Reviewing content, commenting, and versioning drafts is now clear and secure, even with contract partners who do not have a SignSpace account.

All conversations are protected with at least a passcode, and the protection level can be strengthened with strong authentication when needed. All messages, files, and comments are collected into one clear view, making collaboration smooth. Participants can easily join the conversation directly via an email link.

Using secure conversations as secure mail
Discussions can also be used as secure mail by selecting strong authentication and defining the desired retention period. Secure conversations allows you to safely share or collect sensitive data, files, or images with customers and partners—without the risks associated with regular email. The functionality has been security‑tested by an external security service provider and verified to be fully secure.

Collecting information during the signing process
You can collect additional information from the signatory as part of the contract signing workflow. Forms and the signing order can be predefined in templates, ensuring a smooth process. This approach is particularly useful in situations where additional details are needed from an external party before internal signatories complete their part.

Improved user experience and bug fixes
We have implemented several user interface and performance improvements, as well as resolved identified issues to ensure a smoother overall user experience.
